GhostWolf Suite Privacy Policy
Effective October 7, 2026
GhostWolf Industries Inc. operates GhostWolf Suite (GWS), including the GhostWolf Suite Migration connection to QuickBooks Online. This policy covers this service and its public policy pages. It supplements, rather than replaces, policies for other GhostWolf websites and services.
Information we handle
Authorized users may connect a QuickBooks company to GWS. We collect the company identifiers and accounting information returned by the supported QuickBooks APIs, which may include accounts, customers, vendors, employees, contact details, transactions, reports, notes, and original attachments. Attachments can contain personal and financial information. We preserve source identifiers, transaction relationships, export timestamps, and checksums needed to verify the archive.
We also handle user-account and authentication information, access permissions, encrypted authorization tokens, support correspondence, and operational information needed to run and secure the service. Web requests may produce security and operational logs containing IP addresses, request paths, timestamps, and error information. GWS uses cookies for sign-in sessions and request protection.
How we use information
We use information to authenticate users, connect authorized company accounts, export and preserve source records and attachments, allow authorized review and download, verify archive integrity, provide support, maintain backups, and prevent unauthorized access. Inc. and LLC connections and archives are assigned separately, with access controlled by company permissions.
The migration integration reads QuickBooks business records; it does not post transactions back to QuickBooks. Intuit's accounting authorization can grant broader permissions than the migration implementation uses. Authorizing the connection does not mean every QuickBooks feature or historical record is available through the API.
Sharing and service providers
Information is available to authorized company users and personnel who need it to operate or support the service. Intuit processes authorization and supplies the requested QuickBooks data under its own terms and policies. We use Hostinger for server hosting and Microsoft OneDrive for encrypted backup storage. Providers process information as needed to deliver their services. We may disclose information when required by law or necessary to protect rights and investigate misuse.
We do not sell imported QuickBooks information or use it for advertising or cross-company marketing. Downloading an archive creates a copy whose storage and sharing are controlled by the authorized recipient.
Security
GWS uses HTTPS, account and company access controls, multifactor authentication, encrypted private server storage, encrypted stored QuickBooks authorization tokens, and encrypted backups. No system can guarantee absolute security. Users must protect their accounts and downloaded files and promptly report suspected unauthorized access.
Retention, disconnection, and deletion
Exported records are retained for business recordkeeping and migration until an authorized deletion is arranged, subject to applicable retention obligations. There is no automatic archive expiration. Backups can retain earlier copies; deleting an active record does not immediately remove it from every backup.
You can revoke the app's authorization through QuickBooks or Intuit account controls. Revocation stops future authorized access but does not automatically erase records already exported into GWS. For disconnection assistance, access, correction, or deletion requests, contact legal@ghostwolf.io. We verify the requester's identity and authority, assess applicable obligations, and explain the scope and timing of the response, including treatment of backups. Do not send passwords, authorization tokens, or authentication codes by email.
Your choices and requests
Connect only companies you are authorized to represent. Contact your company's administrator or the address above about information held in a company archive. Privacy rights depend on applicable law and may include access, correction, deletion, restriction, or objection. We evaluate requests under the law that applies; some records must be retained. The service is intended for authorized business users and is not directed to children.
Policy changes
We will update the effective date when this policy changes and provide notice of material changes through the service or appropriate contact channels. Contact GhostWolf Industries Inc. at legal@ghostwolf.io with questions about this policy.
